What it is, whom it is for, what sets it apart.

What is Rostify?

Rostify is web-based rostering software for air navigation service providers and every company that faces the challenge of complex shift planning. It links the planning steps in one database: position plan, shift patterns, monthly roster, daily OPS schedule, licences, e-briefing and on-the-job training – and the current roster for every staff member in the app and the browser.

Who is Rostify for?

For every organisation that plans shift work under working-time and rest rules and rosters people with the same or different functions and permissions together. Rostify was developed for safety-critical shift operations and has been in daily operation at European air navigation service providers since 2018.

Which industries besides air navigation?

Military air traffic control and air surveillance, airport operations and ground handling, aircraft maintenance under Part-145, emergency services (emergency call centres, rescue services, professional fire brigades), prisons and many more. The model is the same: positions that must be staffed, qualified people, rules that must be kept.

How is Rostify different from other rostering software?

Planning is one chain: the position plan sets the demand, the shift pattern covers it, the roster fills it, the OPS schedule assigns the positions – but it also works completely on its own, without using the individual modules. Rules and licences are checked at every step – when planning, on requests, swaps and replacements. Staff do much of the administration themselves: requests, leave applications and swaps.

Isn’t a spreadsheet enough?

A spreadsheet checks neither rest periods nor licences nor requests, and it is not current for everyone at the same time. In Rostify the published roster is live for all staff, every change is checked against your rules, and requests, leave and swaps run without lists being passed around.

Does Rostify meet ATS.OR.320?

Yes. ATS.OR.320 of Implementing Regulation (EU) 2017/373 requires air traffic control service providers to run a rostering system with eight elements, from the maximum number of consecutive working days to minimum rest periods. Rostify covers all eight. Your organisation sets the values; Rostify support configures them to match your regulations and works agreements.

When are the rules checked?

At every action: when the roster is planned, on requests, on shift swaps, on replacements and in AUTO Plan. Rostify checks rest periods, shifts in a row, weekly hours and hours in a row. In the roster a violation is marked and the planner decides; a swap that breaks a rule is not offered in the first place.

Can Rostify calculate the roster automatically?

Yes. AUTO Plan fills the month from the shift pattern, requests, absences and licences and keeps every mandatory rule. The preview shows filled and open shifts – each open shift with its reason – and the hours per person. Nothing is saved until the planner applies it, and every entry stays editable by hand.

How do licences affect the roster?

Shifts and positions can require licences – ratings, endorsements, medicals. Rostify then assigns them only to people who hold all required licences as active: in the roster, on requests and on swaps. Managers, supervisors and holders are warned before a licence expires.

Can one roster handle different working-time contracts?

Yes – for example 40 and 30 hours a week in one roster; each person’s contract sets the target hours. Job sharers with ops and office duties are rostered in the same plan and set their office days themselves.

Can we plan several units?

Yes. An organisation consists of any number of units – for example ACC, APP, TWR, OJT or SIM – each with its own shifts, patterns, positions and settings. A person can belong to several units; their roster shows the shifts of all of them – so staff can also be organised across units.

Staff and app

App, swaps, sick calls, calendar, system requirements.

Is there an app for staff?

Yes, for iPhone and Android. Staff see their roster and dashboard, enter requests, apply for leave, swap shifts and volunteer for overtime; messages arrive as push notifications. The time clock, briefing management and all planning functions are in the browser.

Can staff swap shifts themselves?

Yes. Rostify offers only the colleagues and shifts for which the swap keeps every rule – rest periods, shifts in a row, weekly hours, licences. As soon as the partner accepts, the shifts are swapped; the planner sees every swap in a checklist.

What happens when someone calls in sick?

The supervisor records the sick call with one click. Rostify lists every shift that needs cover and checks rest periods and limits for each replacement. With the managed shift replacement module, open shifts are released to staff by push and SMS.

Can staff load their roster into their calendar?

Yes. For a published month, staff download an .ics file for Outlook, Apple Calendar, Google Calendar or another program. Importing it again replaces the entries instead of duplicating them.

What do users need?

A PC or Mac with a current version of Chrome, Edge, Firefox, Safari or Opera – nothing is installed. A wide screen helps with the monthly roster and the OPS schedule. For the app: an iPhone or Android smartphone with a current operating system.

Security and data

Hosting, access, export, payroll.

Where is our data hosted?

As SaaS, in data centres in Austria, Germany and France – in the EU only. On request, Rostify also runs on premises in your own infrastructure. Rostify GmbH is based in Vienna.

How is access protected?

Connections are encrypted with HTTPS (TLS and HSTS). Rights apply per unit through roles – admin, planner, supervisor, staff, observer, trainer, trainee. Every sign-in is logged, and a session ends after 150 minutes without activity.

Can we export our data and switch provider?

Yes. On request, Rostify provides your data as CSV and JSON files together with a description of the data structure. Switching, export and deletion are free of charge.

We already use an ERP or payroll system.

Rostify does not replace it but supplies it: monthly exports as CSV and XLS list the entries per person and day, and the time account report shows target and actual hours, overtime and leave days – for payroll or your own analyses. Can we try Rostify?

Yes. Book a 45-minute online demo or ask for trial access: your unit, your data, limited in time. Bring one month of your roster, and we rebuild it in Rostify with your shift codes and your licences.

How does the introduction work?

Onboarding covers deployment and train the trainer: your unit goes live with its own data. Rostify support sets up the rule values for your regulations and works agreements; the handbook explains every role step by step.

What does Rostify cost?

The ATM package costs from € 14,400 per year, with twelve modules from the position plan to the crew app. The price per user falls in eight tiers up to 1,500 users. Add-on modules, support and onboarding are on the pricing page; all prices net, plus VAT.

Can we change the number of users?

Yes, monthly, in either direction; the fees follow from the next month. The minimum of 50 users always applies.

How long does the contract run?

The licence runs for a 12-month term. Renewal and notice periods are set out in the Terms and Conditions.
